(21 Sept 2025) The Library Officer who reports directly to the Assistant Manager is responsible for Lending Services Unit provides lending services, access to Library Collection via the Taylor’s Library Catalogue and MulT-Search and supervises the operations of the Library stack management and physical Library. The position is also accountable for actively pursuing ways to improve the efficiency and effectiveness of lending services and the access of library resources for library users.
Work is performed under administrative direction and performance is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system in accordance with the University Policies & Procedures and is based on the accomplishment of defined objective and the effectiveness of the assigned library functions.
This unit is responsible for utilizing the Integrated Library Management System {ILMS} -KOHA in the daily operations of Lending Services activities.
AREAS OF RESPONSIBILITIES
Assist with the supervision of the Lending Services activities (if required)
• Ensure staff is well trained and efficient by continuously providing in-house and external training
• Ensure staff adheres to the weekly and monthly scheduled roster to meet operational requirements
• Monitor lending transactions, including loans, lost items, courtesy notices, overdue reminders, fines, reservations, renewal, requests and withdrawal
• Communication with the lecturers and students on items reserved are ready for collection on a timely manner
• Ensure the cases/forms received are settled within the timeline
Supervise and ensure the accessibility and maintenance of Library collections (t-o assist when required)
• Ensure the stacks maintenance is accurately shelved by monitoring shelving activities, shelf reading and stack labeling
• Ensure the shelving of Library materials and maintain bookshelves in good operating order by conducting regular shelf-reading
• Ensure the updating catalog holdings information for materials removed from the collection, damaged, at bindery, missing and lost
• Ensure staff identifies the damaged and worn reading materials for replacement, weeding, books required for binding and serials binding
• Ensure staff monitored and identified the books or library materials returned at the Book Returns which is inactive, unknown due to books without RFID tagging, damaged, intralibrary loan, on hold, or reserve items and to change the status accordingly
• Supervise and coordinate the shelve movement as and when required
• Monitor and verify staff’s shelving log daily
Assist with the preservation and conservation of library materials in all formats: (To assist when required)
• Supervise staff for withdrawing and editing catalogue records for missing/weeding materials
• Carry our preventive maintenance of audio-visual materials
• Ensure the acquisition of lost items
• Perform stock take for library materials once every two years
Supervise and ensure the tidiness of reading areas (To assist when required)
• Ensure a conducive study area
• Ensure all equipment and computers in need of repair are reported quickly
• Ensure the physical Library is in good order during opening and closing of the Library and report as and when maintenance is required promptly
• Identify and report any security problem with the Library
• Assist library management to rectify all security problem areas identified
• Ensure that Library rules and regulations are observed
• Ensure all notices and signage is displayed and updated as and when needed
Supervise and ensure the tidiness of reading areas (To assist when required)

• Ensure the physical Library is in good order during opening and closing of the Library and report as and when maintenance is required promptly

Contribute to continuous improvement of the unit
• Contribute, evaluate and make recommendations to improve work processes and the development and adherence to relevant Taylor’s University and Taylor’s College policies and procedures
• Contribute suggestions for improvement to Lending Services Unit through participation in discussions and workshops
• Report on the achievement of the unit priorities and meet the quality standards specified in the yearly Lending Services priorities targets
